Job Summary
Provide administrative support to the Mass Communication Department Head, the Department of Mass Communication, faculty, staff, and students throughout each academic semester. Provides assistance as a department representative for any visitors needing department information.

Job Duties & Responsibilities

The Administrative Office Manager will assume the following duties:

  • Serve as the receptionist for the Mass Communications Department
  • Greet all clients: students, staff and visitors with courtesy; Handle all client problems/concerns professionally and with patience; Answer incoming phone calls and transfer to appropriate employees; Must have solid verbal and written communication skills.
  • Serve as the office manager for the Mass Communications Department
  • Check campus mail daily and distribute to appropriate staff; Maintain departmental and personnel files; Complete departmental forms/reports; Maintain university/departmental calendar and give staff reminders as needed; Develop a log of availability for faculty/staff;
  • Notify appropriate staff/vendors when repairs are needed for equipment.
  • Order supplies/equipment as needed via the Banner requisition system.
  • Complete annual inventory report of computers and other departmental equipment
  • Send reminders for monthly faculty-staff meetings; record and dispense meeting minutes.
  • Assist department head in dispensing announcements and constant contrast efforts.
  • Assist department head by completing duties as assigned to include short-term projects, coordinating student workers, assisting with departmental events.
  • Serve as contact person for service vendors and agencies.
  • Other duties as directed by the Department Head of Mass Communication, Dean of College and the Provost and Vice President for Academic Affairs.
Qualifications
Minimum:
  • Applicants should have at least a high school diploma
  • Three years of professional office administrative experience with strong interpersonal communication and organizational skills
Preferred:
  • A bachelor's degree
