Job Summary

This position will serve The Director of Bands and Marching Band Director Chair, to include: Marching Band, Concert Band, Symphonic Band, Jazz Band, Pep Band, Traveling Marching Band and Show Band. The Coordinator of Band Activities will report directly to the Director of Bands and will be responsible for handling a wide range of administrative, managerial and executive support related to tasks. The position will interact with staff at all levels in a fast-paced environment, at times working under pressure, while remaining resourceful and efficient. This person must perform with a high level of professionalism, confidentiality and discretion. While providing a high level of support to the Director, this incumbent will perform all numerous administrative tasks, in addition to managing the newly created "World Famed" online products, promoting community outreach for the department, and overseeing the daily functions of the media team, special projects, fundraisers and its daily submissions.
Job Duties & Responsibilities

  • Negotiate and coordinate all band(s) travel needs, (i.e. hotel, transportation, meals execute travel request, requisitions, travel expense reports and all additional documents needed in setting up and concluding travel).
  • Negotiate and coordinate all band events to include, (i.e., annual awards banquet, homecoming parade, Freshmen Camp, Leadership Camp, Pre-School Camp, Summer High School Band Camp, etc.).
  • Manage all Marching Band accounts.
  • Responsible for paying all department expenses and execute all required needs in banner, i.e. requisitions encumbrances, expense reports.
  • Arrange for uniform cleaning, pick up and drop off of all band & staff uniforms.
  • Assist the Director of Bands in negotiating contracts for all appearances domestic and internationally to include; (i.e. halftime shows, documentaries, movie roles, reality shows, parades, Super Bowls, NBA, NFL games.
  • Compose correspondences for Director and department.
  • Responsible for managing the internal scholarship service award program.
  • Assist the Director of Bands in designing and ordering all band paraphernalia to include t-shirts, sweatshirts, hats, scarves, jackets, blankets, tennis shoes, hats, wind suits, etc.
  • Schedule all travel needs for the Director
  • Responsible for submitting all annual service award lists, and out-of-fee state waiver requests each semester for students. Update necessary applications, forms, and guidelines.
  • Act as a liaison on behalf of the Director of Bands, to include, i.e. (students, parents, vendors, promoters, sponsors, donors, etc.)
  • Communicate with vendors as to items shipped and items received and authorizing payments.
  • Take minutes for all band meetings.
  • Supervise, train and approve timesheets for all student workers.
  • Responsible for ordering all office supplies for the department and staff.
  • Manage the online "World Famed" store and assist with all marketing needs as well as making sure that all the items being sold are up-to-date, in stock have the correct sizes, prices, etc.
  • Responsible for designing new online merchandise
  • Ordering new stock- checking trends and past orders to understand best time to order new stock.
  • Design and order products to sell.
  • Work closely with product vendor for online "World Famed" store.
  • Assist with brand management for the World Famed Tiger Marching Band.
  • Overseer the Media Team to ensure that all submissions are executed in a timely manner. Manage and work collaboratively with the team in developing and implementing all targeted content for various media platforms.
  • Research, write, proofread, and edit all media content, implement and manage media campaigns, and deliver public relations and communications plans as it relates to the "World Famed."
  • Assist the Director with various podcasts, interviews, speaking engagements, etc.
  • Assist the Director of Bands with coordinating/creating programs to attract, interact and recruit high school band students.
  • Organize visits and community outreach programs to assist various entities and organizations.
  • Any and all additional duties needed by the Director of Bands.

Qualifications

Minimum:
  • Bachelor's Degree in Business Administration or Business Management or 10 years' qualifying experience.
  • Requires excellent communication and interpersonal skills
  • Ability to provide information and service to a wide range of internal and external contacts
Preferred:
  • Masters
